New legislation came into effect on 6th April 2020 that requires all agency workers to be given a Key Information Document (KID) before agreeing to work with an employment business – as part of Regulation 13A of the Conduct of Employment Agencies and Employment Businesses Regulations 2003.
The Churchill Knight development team has been working tirelessly to automate our KID process, and to make it as efficient as possible for our Recruitment Agency partners. We have been able to pioneer a system that allows recruiters to get an accurate KID sent to them immediately after completing a short online form – for both umbrella and limited company candidates. And, we’re proud to have had the system up and running for months already.

About our Key Information Documents
If you’re seeking an umbrella or limited (PSC) Key Information Document, our automated online forms make the entire process as easy as possible. All you need to do is provide us with some basic information about your candidate and their assignment. Then, once you have clicked ‘Submit’, you will receive an email with the PDF KID attached. You can even choose whether or not you want the KID to be sent directly to your candidate.

Umbrella Company – Key Information Documents

Our umbrella KIDs are innovative because they include more than just the basics. Once you have submitted the assignment information, our system will automatically make several sophisticated background calculations, giving you a KID that has accurately worked out what deductions will be made to your candidates pay*. These include Employees/Employers National Insurance Contributions, the Apprenticeship Levy, income tax, Holiday Pay, and our margin. The projected net take home pay is then clearly stated at the end.
Limited Company (PSC) – Key Information Documents

Our limited company KID system is exactly the same as our umbrella one – complete short form and the KID will be emailed to you immediately.
You will notice that a lot of information on the Limited Company KID is left blank. Don’t worry – this isn’t a mistake. There are many ways that a limited company contractor may decide to pay themselves. Therefore, we cannot speculate as to which method they’ll choose as every contractor’s circumstances will be different.

If a Recruitment Consultant accidentally facilitates tax avoidance or tax evasion (even if it was by mistake), the agency they work for could be held accountable and face severe punishment from HMRC.
Your agencies Preferred Supplier List (PSL) must be up to date and only include companies who are compliant. In the past, collating a reliable PSL has proven to be hard work, and very time-consuming. This is because agencies had been required to carry out their own audits to ensure they were happy each provider followed government guidelines. However, this is no longer the case.
Choosing an FCSA accredited accountant or umbrella company is the easy way to ensure you are referring your candidates to a dependable and reliable company. The FCSA has rigorously audited every business that it has accredited, and as a result, there is no better way to prove compliance than by achieving the coveted accreditation.

* These deductions are based on careful calculations that have been created to be as accurate as possible. However, the actual amount your candidates will take home is likely to vary slightly because we do not have their previous employment history (amount of tax paid, for example).
